What stood in the way.
- Every invoice was produced individually. Whether all mandatory details were present, nobody checked systematically.
- Whether a part was in stock, only someone looking at the shelf knew. Reserved and on order were recorded nowhere.
- Goods received were copied into a list by hand, and the online catalogue was maintained separately again.
- Overdue items surfaced when someone looked. Each reminder level was a one-off.
- Closing the year was a search that ran for weeks.
What we built.
Capture with a scanner
Goods received and sales run off the barcode instead of the keyboard. Whatever is scanned is in stock immediately, and therefore in the catalogue too.
The catalogue hangs off the same stock
What is visible online comes from the same parts table as the invoice. No second data set to maintain, and nobody orders what is gone.
Invoices that survive an audit
Mandatory fields, number ranges and immutability sit in the data model, not in a checklist beside it.
Reminders and bank matching
The system spots overdue items and triggers the next level. Account movements are read in and matched. Whatever does not match stays visible.
One package for the accountant
Entries and documents are exported in order, as an archive rather than a pile of separate emails.
